Introduction

Folx Table LLC (“Folx Table,” “we,” “us,” or “our”), the operator of the Outpost service, operates Outpost, a web-based platform for in-person social dining events we call “Outposts,” available at outpost.rsvp (the “Website”). This Privacy Policy explains what personal information we collect, why we collect it, how we use and share it, and the choices available to you.

This Policy applies to information collected through the Website, during registration and booking for an Outpost, at an Outpost itself, and through web-based features we offer (such as calendar integration). It does not apply to information collected by a host organization, university partner, or any other third party once we have shared it with them, as that information becomes subject to their own privacy practices.

Eligibility

Our Services are intended solely for individuals age 18 and older.

By using our Services, you represent that you are at least 18 years old. We do not currently collect proof of age; eligibility is based on this representation.

We do not knowingly permit anyone under 18 to register. If we learn that someone has misrepresented their age, we may remove their account.

Information We Collect

3.1 Information You Provide to Us

Account and Booking Information. When you register and book an Outpost, we collect:

  • Email address
  • First and last name
  • Cell phone number
  • Home ZIP code, for events that place attendees by area (asked once; used to place you in a city and preselect a nearby area)
  • Where you’ll be coming from on the evening of your Outpost, and how far you’re willing to travel, for events that place attendees by distance (asked with each booking — see “Where You’ll Be Coming From” below)
  • Year of birth (asked during booking, and only for events that balance tables by age)
  • Gender, selected from a fixed list, including a “prefer not to say” option (asked during booking, and only for events that balance tables by gender)

Matching Preferences. Depending on the organization hosting your Outpost and how they’ve chosen to set up their event, we may ask a small number of preference questions — such as what type of connection you’re looking for and what kind of conversationalist you are. Not every Outpost asks the same questions; this varies event to event.

Like gender, these preference factors are sometimes used to seat attendees who are similar to one another, and sometimes to seat attendees who differ from one another. This also varies event to event, depending on the host organization’s approach. Your answers to matching questions are also shared with the organization hosting your Outpost, as described in Section 5.

Where You’ll Be Coming From. So we can look for a table that’s convenient for you to reach, we ask where you’ll be coming from on the evening of your Outpost. Depending on the event, we ask for this in one of two ways.

For some events, we ask for your home ZIP code once, and ask which areas of the city work for you. A ZIP code identifies a general part of a metropolitan area rather than a specific address.

For other events, we ask you for a specific location — by searching for an address, placing a pin on a map, or, if you choose, sharing your device’s current location — along with how far you would be willing to travel. This is a precise location, and we store it with that booking. We use it to work out how far each candidate restaurant would be from you, and we offer it back to you as a starting point the next time you book so you don’t have to enter it again. We do not use it for advertising, we do not build a location history from it, and we do not share it with the organization hosting your Outpost.

Sharing your device’s current location is always optional. Searching for an address or placing a pin does the same job.

Payment Information. When you book an Outpost, you enter your card details into a secure payment field provided by Stripe, our payment processor, embedded directly in our booking flow. Your card details go to Stripe; Outpost does not receive or store your full card number. We retain only what Stripe provides us in order to charge the fees described in our Terms of Use (a no-show fee, a late-cancellation fee, and a late-arrival fee), where those penalties are enabled for your event.

Event Check-In. When you check in at an Outpost, we ask your device for its location once, solely to confirm that you have arrived at the venue. We store only your distance from the venue (in meters) and how you checked in — never your GPS coordinates or any location history. This is different from the location you give when booking, described above: here we keep only the distance. If you decline location access, you can still check in by confirming your arrival manually.

Contact Sharing With Your Table. After an Outpost, you may choose to share contact details — your email address, phone number, Instagram handle, or LinkedIn profile — with the other attendees seated at your table. Sharing is off unless you turn it on, you choose which details to share, and your choice is made separately for each event. Details you choose to share become visible to your tablemates, and Outpost is not responsible for their further use.

Table Photos. At some Outposts, we invite the attendees seated at a table to add photos of that table from their phones near the end of the evening. Adding a photo is optional, and not every Outpost collects them. A photo you add is stored with your booking and with your table, along with the image file itself, basic details about it (such as its size and dimensions), and when it was added. For the first 48 hours after your Outpost ends, your table’s photos are visible to the attendees seated at that table, and any of them can remove any photo during that time. After those 48 hours, the removal controls close and the photos also become visible to the organization sponsoring your Outpost, which may use them for its own purposes, including its own marketing; we may also use them in Outpost’s own marketing. Outpost staff can access table photos, including during those first 48 hours, in order to operate and support the feature and to act on takedown requests. We keep photos indefinitely; to ask us to take one down after the 48 hours have passed, email hello@outpost.rsvp. Removing a photo cannot reach a copy that has already been downloaded, as our Terms of Use explain.

Invitations. If another attendee or an event organizer invites you to an Outpost by email, we receive your name and email address from the person inviting you and use them only to deliver the invitation and confirm that it was delivered.

Post-Event Feedback. After an Outpost, we may ask you a short set of feedback questions about your experience. Your answers are stored with your booking and used to improve our events.

3.2 Information We Collect Automatically

We use Vercel Analytics to understand how visitors use our Website, including pages visited and general usage patterns. We also use essential cookies to keep you signed in and to operate the Services; we do not use advertising cookies. We do not currently use advertising pixels, ad networks, or other tools to track you across other websites, and we do not use your information for interest-based or cross-context behavioral advertising. If that changes, we will update this Policy and provide any opt-out required by law.

3.3 Calendar Access

If you choose to add your Outpost to your calendar, we generate that calendar entry for you — for example, through a calendar link or file. This is a one-way action: we add the single event and do not read, access, or store anything else already on your calendar. The entry lives on your own calendar, and you can delete it at any time.

How We Use Your Information

We use the information described above to:

  • Create and manage your account and process your Outpost bookings
  • Match you to a table and to fellow attendees based on your preferences, gender, and where you’ll be coming from
  • Communicate with you about your bookings, including logistics and day-of updates, by email and/or text
  • Charge the fees described in our Terms of Use, through Stripe, for no-shows, late cancellations, and late arrivals
  • Provide attendee information to university or organizational partners who co-host an Outpost, as described in Section 5
  • Host the photos attendees add at a table, share them with that table and — after 48 hours — with the organization sponsoring the event, and use them in Outpost's own marketing, as described in Section 3
  • Analyze and improve our Services using Vercel Analytics
  • Comply with applicable law and protect the rights, safety, and property of Outpost, our attendees, and the public

We do not use your cell phone number for marketing purposes, and we do not sell your personal information.

How We Share Your Information

Host Organizations and University Partners. When you book an Outpost co-hosted by a university or other organization, we share your first name, last name, email address, the areas you selected if that event asked you to choose any, and your answers to that event’s matching questions, with that organization for its own records. We do not share your home ZIP code or the specific location you give when booking. We do not share your phone number with host organizations. Where an event collects table photos, we also share the photos added at your table with that organization, beginning 48 hours after the event, as described in Section 3.

Service Providers. We share information with vendors who perform services on our behalf, including Stripe (payment processing), Supabase (database and sign-in infrastructure), Twilio (delivery of text-message verification codes and booking updates), Resend (email delivery), Vercel (website hosting, analytics, and performance monitoring), Google Maps (the maps shown on event pages, and the address search and map you use to tell us where you’ll be coming from — Google receives what you type into that search and the coordinates of a pin you place or a device location you choose to share, in order to return results), and Inngest (scheduled background tasks, such as sending reminders). These providers may only use your information to provide services to us.

Legal and Safety. We may disclose information if required by law, or if we believe disclosure is necessary to protect the rights, property, or safety of Outpost, our attendees, or the public.

Business Transfers. If Outpost is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction.

We do not sell your personal information, and we do not share it with third parties for their own advertising purposes.

Your Choices

Marketing. We do not currently send marketing emails, and we never send marketing text messages or use your phone number for marketing. If we introduce marketing emails in the future, they will be opt-in, every message will include an unsubscribe link and our postal address, and we will update this Policy first.

Text Messages. We send text messages only to sign you in (one-time verification codes) and for updates about your bookings. Message frequency varies, and message and data rates may apply. You can reply STOP at any time to opt out of non-essential texts, or HELP for help. Your mobile phone number and text-message opt-in data are never shared with or sold to third parties or affiliates for marketing or promotional purposes.

Location When You Book. For events that ask for a specific location, sharing your device’s current location is optional — searching for an address or placing a pin does the same job. To change or remove the location on a booking you have already made, contact us at hello@outpost.rsvp.

Location at Check-In. Sharing your device location at check-in is optional. If you decline, you can confirm your arrival manually.

Table Photos. Adding a photo at your table is optional. For 48 hours after your Outpost, anyone seated at your table can remove any of that table’s photos from your Outpost recap. After that, email hello@outpost.rsvp to ask us to take a photo down.

Calendar Access. Calendar entries we generate live on your own calendar, and you can delete them at any time.

Account Information. You can review and update your name, email address, gender, and year of birth by logging into your account. For anything else we hold about you — including the location you gave when booking — contact us at hello@outpost.rsvp.

Data Retention

We currently retain attendee information indefinitely, rather than deleting it after a set period, to support the ongoing operation and development of our Services.

This includes photos added at a table, which we keep indefinitely after the 48-hour removal window has closed, unless we take one down at your request.

This also includes the location you give us when booking, which we keep with that booking indefinitely — including if you later cancel that booking.

Your Privacy Rights

8.1 U.S. State Privacy Rights

Depending on where you live, you may have rights under state privacy laws to confirm whether we process your personal information, access or delete it, correct inaccuracies, obtain a portable copy, and opt out of certain uses such as targeted advertising or the sale of personal information (we do not engage in either). To exercise any of these rights, contact us at hello@outpost.rsvp. We will verify your request and respond consistent with applicable law.

Global Privacy Control. Some browsers and browser extensions send a Global Privacy Control (“GPC”) signal indicating a preference to opt out of the sale or sharing of personal information. Because we do not sell or share personal information as defined under applicable state law, a GPC signal does not currently change how we process your information; however, we will honor any opt-out preference signal that applicable law requires us to recognize.

8.2 International Use

Our Services are offered only within the United States. Outposts are held exclusively at U.S. venues, and the Services are not directed to, or marketed toward, individuals located outside the United States. If you access our Services from outside the United States, you do so on your own initiative and are responsible for compliance with local law.

Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect your information. Payment card information is handled directly by Stripe and is never received or stored by Outpost in raw form. Your information may be collected, stored, and processed in the United States or other countries where we or our service providers operate, which may have different data protection laws than your home jurisdiction. In the event of a data breach affecting your personal information, we will notify you and any applicable regulator as required by law. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Third-Party Links

Our Website and Services may contain links to third-party websites, such as a host organization’s own site or social media pages. We are not responsible for the content, security, or privacy practices of any third-party site, and we encourage you to review the privacy policy of any third-party site before providing your information to it.

Changes to This Policy

We may update this Policy from time to time. We will post the updated version on our Website with a new “Last Updated” date, and where changes are material, we will provide additional notice, such as by email.

Supplemental Privacy Notice for California Residents

This section supplements the Policy above and applies specifically to California residents, as required by the California Consumer Privacy Act (CCPA). In the event of any conflict between this Supplement and the rest of the Policy, this Supplement controls for California residents.

Because we use it only to provide the service you asked for, we are not required to offer a “Limit the Use of My Sensitive Personal Information” option; you can still contact us at hello@outpost.rsvp with any request about it.

California Resident Rights

  • Right to Know what personal information we have collected, used, disclosed, and shared about you
  • Right to Delete personal information we have collected from you, subject to certain exceptions
